The Collections team within Billing is responsible for ensuring timely payments from workplaces (such as healthcare facilities). As a Billing Representative (BR), you will play a crucial role in maintaining healthy cash flow by making sure assigned workplaces pay their invoices promptly. This position is vital, as consistent cash inflow keeps the company running smoothly. 

The BR will communicate with workplaces via phone and email to follow up on outstanding invoices, secure “promise-to-pay” commitments, and ensure customers follow through. You will coordinate with both external stakeholders and internal teams to resolve payment barriers and keep collection efforts on track. This role requires strong cross-functional collaboration with Billing Disputes, Sales, Customer Support, and other departments.  

Responsibilities 

  • Monitor accounts to identify overdue payments

  • Review account history and past billing details

  • Contact accounts payable teams and administrators via phone and email regarding past-due and upcoming invoices

  • Determine the root cause of non-payment

  • Address and resolve billing issues and concerns

  • Provide regular reports on collections activity and accounts receivable status

  • Work closely with Sales to confirm contract accuracy and maintain updated customer information

  • Maintain detailed call logs and record all customer payment updates

  • Manage new workplace assignments by establishing contact, introducing yourself, and collecting necessary account information

  • Identify high-risk accounts and escalate them to managers when needed

  • Build strong customer relationships and clearly communicate billing policies, NET terms, and dispute processes

  • Develop SMART action plans for delinquent accounts

  • Aim to maintain at least a 95% quarterly collection rate

  • Ability to adapt quickly to process or policy changes

  • Preferred experience: Google Workspace, Slack, Salesforce, and softphone tools such as Amazon Connect

  • Willingness to learn and adapt to new technologies
